Objectives of the Ghana Academy

The Ghana Academy of Arts and Sciences (GAAS) was established by an Act of Parliament in 1959, to encourage the creation, acquisition, dissemination, and utilization of knowledge for national development. It is made up of Fellows who have distinguished themselves in the Arts and Sciences and is led by a Council consisting of a President, Vice-Presidents, an Honorary Secretary and other elected members.

The Academy’s work is administered through a Secretariat consisting of the Executive Secretary and other administrative, secretarial and clerical staff. The Executive Secretary is responsible for the day-to-day management of the Academy under the Honorary Secretary, and drives the strategic plan and other policy directives under the general guidance of the Council.

Position: Executive Secretary

Scope of Work

• Under the general guidance of the Council and the direct supervision of the Honorary Secretary, the Executive Secretary is responsible for the day-to-day management of the Academy, and drives the implementation of the Academy’s Strategic Plan and other policy directives;
• S/He manages the staff of the Secretariat of the Academy;
• S/He keeps records, archives and library of the Academy;
• S/He is responsible for the safe custody of the common seal of the Academy;
• S/He serves as secretary to the Council and the General Meeting of Fellows of the Academy and conducts correspondence on their behalf;
• S/He coordinates the activities of the Academy and arranges its public events;
• S/He serves as a member of the Entity Tender Committee and is a co-opted member of the Audit Committee; and
• S/He performs any other duties that may be assigned by the Honorary Secretary and Council.

Qualification Required & Experience

• The position of Executive Secretary is equivalent to that of a Deputy Registrar in a public university in Ghana;
• Candidates must have a good first degree and a Master’s degree in either the Arts or Sciences;
and
• Candidates must have not less than 15 years post qualification experience, at least eight (8) of which shall have been in a senior management position.

Qualities

• Proven competent leadership capabilities and managerial skills;
• A team player with excellent interpersonal skills;
• Capacity to exercise sound judgment and exhibit a high sense of initiative;
• Effective communicator with excellent report writing skills;
• Computer literate; and
• Applicant should be able to serve at least one five-year term of office before attaining the compulsory retirement age of 60 years.

Tenure

The Executive Secretary shall hold office for a period of five (5) years and is eligible for reappointment for a further term of up to five (5) years, subject to a satisfactory review of performance.

Remuneration: The salary attached to the position is equivalent to that of a Deputy Registrar in a public university in Ghana.

He/she evaluates suppliers, products and services, negotiates contracts, maintains positive supplier relations and ensures that purchases are cost-effective and of high quality.

Scope of Work

• Prepare annual procurement plan, embodying a detailed list of anticipated purchases and regularly updates the plan;
• Prepare tender for goods, works and services within the approved threshold;
• Keep suppliers’ database register;
• Prepare request for proposals and advertisements for consultancy services;
• Undertake bid opening and evaluate submissions for goods, works and services;
• Monitor the procurement processes of projects to ensure conformity with the established procedures;
• Prepare quarterly procurement status report;
• Serve as Secretary to the Academy’s Entity Tender Committee; and
• Perform any other duties that may be assigned by the Honorary Secretary or the Executive Secretary.

Qualification Required & Experience

• Candidates should hold a good first degree and a Master’s degree in supply chain management, business administration, purchasing management or a related field of study.
• Candidates should have at least five (5) years post-qualification experience in procurement.

Qualities

• Should have an analytical mind and keep up with product and service trends;
• Possess a strong understanding of local and global market trends, procurement strategies organisational objectives and supplier capabilities to ensure success;
• Communicate the value of strategic sourcing and procurement to key suppliers and develop and maintain relationships with suppliers;
• Evaluate existing procurement policies and procedures and update them when necessary;
• Work with key procurement software and systems;
• Must have strong negotiation skills; and
• Must be computer literate.

Scope of Work

• Develop strategies to market and brand the Academy;
• Write and distribute various types of content, including material for the Academy’s website;
• Manage the Academy’s social media activities, press releases, marketing material in
consultation with relevant officers;
• Develop newsworthy content out of the Academy’s events and publications;
• Compile relevant material for the Academy’s Annual Report and internal newsletters; and
• Perform any other duties assigned by the Executive Secretary.

Qualification Required & Experience

• Candidates should hold a good first degree and a Master’s degree in Journalism, Communications, Public Relations, Marketing or related disciplines;
• Candidates should have at least three (3) years post-qualification experience in any of the disciplines stated above.

Qualities

• Understand effective graphic design, branding principles and the use of internet and social media platforms as a means of communication;
• Have excellent written and verbal communication skills, including the ability to craft written and multimedia content related to the Academy’s educational, policy and advisory functions;
• Be a good communicator with excellent interpersonal skills;
• Must be computer literate with knowledge in Microsoft Office Suite software skills; Adobe Creative Cloud software (specifically, InDesign, Photoshop, Illustrator, etc.) and Content Management Systems;
• Demonstrated experience and creativity in the design/development of marketing, public
relations or educational programs and communications materials; and
• Must provide professional portfolio including at least three best writing samples and digital communications products, if selected for interview.

• Assist with the organization of manuscripts;
• Create design concepts and layouts;
• Design and produce a wide range of promotional items, such as leaflets, annual reports, brochures, postcards, banner stands and adverts;
• Contribute to the development of new publications working with the Publications Officer;
• Develop and manage the Academy’s digital/e-books platform; and
• Perform any other duties assigned by the Executive Secretary.

Qualification Required & Experience

• At least a Higher School Diploma from a recognized public institution or First Degree in Graphic Design, Publishing, Creative Arts or related fields; and
• Must have at least two years of relevant experience.

• Knowledge of design principles, tools, and techniques;
• Knowledge of media production, communication, and dissemination;
• Have artistic ability and creativity;

Job Position: Security Guard – Night

Objectives of the Ghana Academy

It is made up of Fellows who have distinguished themselves in the Arts and Sciences and is led by a Council consisting of a President, Vice-Presidents, an Honorary Secretary and other elected members.

The Executive Secretary is responsible for the day-to-day management of the Academy under the Honorary Secretary, and drives the strategic plan and other policy directives under the general guidance of the Council.

Under the Executive Secretary, the Security Guard (Night) is responsible for securing the premises and personnel by patrolling the premises, monitoring and inspecting building, equipment, vehicles and access points.

Scope of Work

• Patrol premises of the Academy and monitor movements to and from the premises at night;
• Inspect buildings, equipment, and access points to guard against theft, property damage, violence, infraction of rules, intrusion, etc;
• Prevent losses and damage by reporting theft, unauthorized persons, illegal or suspicious activities and unusual occurrences;
• Complete reports by recording observations, information and occurrences;
• Establish cordial relationships with personnel in all departments; and
• Perform any other duties assigned by the Executive Secretary.

Qualification Required & Experience

• Applicant must possess a minimum of WASSCE/SSSCE/GCE Ordinary Level/General Business Certificate Examination with credits in five subjects including English Language and Mathematics;
• Any additional certification in a security related area from a recognized institution will be an added advantage; and
• Must have at least two years of relevant experience.

Qualities

• Vigilant, alert and always aware of one’s surroundings;
• Must be honest and have integrity;
• Physically and medically fit and within a healthy and weight range;
• Good interpersonal and communication skills (oral and written);
• Good manners and comportment; and
• Must not be more than thirty-five (35) years of age by the end of December 2023.
